Project Coordinator

Job description

We are seeking a highly organized and motivated Project Coordinator to join our dynamic team at Wedo. As a Project Coordinator, you will play a crucial role in managing various educational and consulting projects, ensuring their smooth execution from inception to completion. You will work closely with our clients, internal teams, and external partners to deliver exceptional educational services and consulting solutions. In addition, you will identify funding opportunities, tenders, and services, and write winning grants and proposals to secure projects from donors, NGOs, corporate clients, and public entities you will support the design, implementation, and evaluating projects. Simultaneously, you will handle essential administrative functions to support the business’s growth as needed.

Job Details:

  • Reporting to: Head of business development
  • Duration: Full time - 3 months’ probation period
  • Location: Erbil and Baghdad
  • Working Hours/days: 8 hours per day, Sunday – Thursday
  • Work Arrangement: office-based possibility to travel across Iraq

Responsibilities

  1. Project Planning and Management:
  • Collaborate with clients and internal stakeholders to define project objectives, scope, and deliverables.
  • Develop detailed project plans, timelines, and resource allocation strategies.
  • Monitor project progress, identify potential risks, and implement effective solutions to ensure project success.
  • Support in Designing interactive project curricula and materials using human-centric methodologies if needed.
  1. Tender opportunities and proposal development:
  • Assist in researching and identifying funding opportunities, tenders within Wedo’s span of services from donors, NGOs, private sector and public entities.
  • Coordinate with internal teams to gather necessary information and documentation for tender submissions support.
  • Prepare accurate and complete tender documents, adhering to submission guidelines.
  • Analyze tender requirements and maintain proper documentation of tender-related activities and outcomes.
  • Develop engaging, winning and tailor-made proposals for different RFQs, TORs and opportunities.
  1. Client Interaction:
  • Act as a primary point of contact for clients, maintaining strong professional relationships.
  • Address client inquiries, concerns, and feedback promptly and professionally.
  • Provide regular project updates to clients and gather feedback for continuous improvement.
  1. Team Collaboration:
  • Coordinate with internal teams, including educators, trainers, and consultants, to ensure seamless project execution.
  • Facilitate effective communication and collaboration among team members.
  • Facilitate different projects of Wedo.
  • Provide necessary support and resources to team members to enhance project performance.
  • Deliver compelling presentations to potential clients, articulating the value of our services.
  • Attend industry events, build networks, and engage in thought leadership activities.
  • Support in preparing different documents and translations.
  1. Quality Assurance:
  • Conduct project needs assessments in collaboration with clients to identify gaps.
  • Ensure the quality of educational services and consulting solutions delivered to clients.
  • Conduct regular evaluations and assessments to measure project outcomes and client satisfaction.
  • Implement improvements based on feedback and performance evaluations.
  1. Documentation and Reporting:
  • Produce comprehensive project reports for various stakeholders, detailing progress, milestones, and outcomes.
  • Conduct thorough needs assessments for projects to identify key areas of focus and improvement.
  • Collect, analyze, and interpret project data to generate insights and visuals that support decision-making.
  • Prepare and present regular updates to internal and external stakeholders on project status and achievements.
  • Ensure all reporting complies with donor requirements and internal standards.
  • Document lessons learned and best practices to improve future project implementation.
  1. Administrative and organizational support:
  • Assist in follow-up and communication with stakeholders.
  • Organize and maintain physical and electronic files and records for reporting and internal purposes.
  • Schedule appointments, meetings, and travel arrangements.
  • Edit and prepare documents and reports.
  • Provide support during meetings and events.
  • Conduct translations when needed.
  • Regularly report to the management on the progress of assigned tasks.

Skills & Qualifications

  • Project Delivery Skills: Proven experience in facilitating projects using various methods and technologies. Comfortable presenting to both small and large groups.
  • Communication and Collaboration: Excellent verbal and written communication skills. Ability to collaborate effectively with clients, subject matter experts, and internal teams to achieve project goals.
  • Project Management: Strong project management skills, including the ability to prioritize tasks, manage timelines, and work within budget constraints.
  • Technology Proficiency: Familiarity with e-learning authoring tools, multimedia software, and other learning technologies.
  • Analytical and Evaluation Skills: Ability to assess project effectiveness, analyze data, and provide actionable recommendations for improvement.
  • Adaptability: Flexible and open to change, with the ability to adjust strategies and approaches based on client and learner needs.
  • Continuous Learning: Passion for staying up to date with industry trends, emerging technologies, and best practices in learning and development.
  • Strong presentation delivery skills, comfortable presenting to diverse audiences.
  • Excellent communication and collaboration abilities for client interactions and internal teamwork.
  • Attention to detail in tender document preparation and analysis.
  • Proficiency in Kurdish, Arabic and English written and spoken languages for translations and communication.
